Several shelters

One account switches between sites, each with its own data.

Your rules

Adoption steps, votes, roles, documents: each shelter sets its own.

Nothing to install

A browser is all you need, in the office or in the kennels, phone in hand.

Features

Organised like your day: animals, people, shelter activity.

Each module works on its own, and they all talk to each other: a completed adoption updates the animal’s record, frees its kennel and is entered in the register.

01

Animals

From arrival to departure, everything about an animal is on its record.

Animal records

Identity, photos, behaviour, compatibility, documents and a daily journal. Age is recalculated automatically from the date of birth.

Health and reminders

Vet procedures, vaccines, quarantines, weigh-ins with their curve. A care reminder alerts you a week before the due date.

Housing

Sections, kennels and spaces. Move an animal by drag and drop, and its kennel is freed as soon as it leaves the shelter.

Entry and exit register

Every arrival and every departure is entered with no retyping. One tab per type of movement, ready to print.

Rescue transports

Convoys with their route, stops and spaces in the van. Each animal booked on has its stop and its destination.

Partner catalogues

Records kept by a partner rescue arrive automatically, photos included, without overwriting what you enter.

02

People

Adopters, volunteers, foster carers, donors, vets: one person, one record.

Directory

One record per person, even if they are a volunteer, a foster carer and a donor all at once. Organisations have their own.

Foster homes

Free spaces calculated, profiles accepted, who is fostering which animal and since when. The placement history stays on the record.

Volunteer rota

The week at a glance: shifts by day, unfilled ones highlighted, volunteers who are usually available.

Map

Adopters, volunteers and foster carers placed on the map, so you can find who lives near a town, within the radius you choose.

Team chat

Channels for the whole team instead of WhatsApp groups: @ mentions a member, # tags an animal and opens its record.

Emails and documents

Write to a contact from their record and attach the contract or the certificate in one click. Every email sent is logged.

03

Shelter activity

Adoptions, donations, sponsorships: what keeps your organisation going, tracked from start to finish.

Adoptions

A step-by-step process that you define, a departure checklist, and post-adoption follow-up that opens by itself.

Team vote

Simple majority, qualified majority or unanimity, with a quorum: you set the rule, each member votes and comments.

Online signing

Certificate of commitment, adoption contract, volunteer charter: signed with a finger on a phone, with their audit trail.

Donations and tax receipts

PDF receipt with the wording of the French Cerfa no. 11580 form, numbered with no gaps and sent by email. HelloAsso payments are imported.

Sponsorships

A sponsor linked to an animal, with amount and frequency. The history stays on the animal’s record and on the sponsor’s.

Public adoption page

Your adoptable animals published on a page in your name, kept up to date from their status, with your contact details.

04

Management

Who has access to what, who did what, how the shelter is doing, and what connects to it.

Roles and permissions

Set page by page and action by action. Create your own roles (vet, accountant…) and exceptions for individual accounts.

Activity log

Records edited, adoption steps, votes, accounts: every action is logged, with its author and its date.

Statistics

Adoption rate, occupancy, entries and exits over six months, where animals come from: calculated from your records, without a spreadsheet.

Integrations

HelloAsso for donations, Ohme for contacts, partner rescue catalogues for animals. And your own tool, on request.

Adoptions

From application to one-year follow-up, with nothing forgotten.

Each file moves forward step by step, along the process your shelter has defined. The team vote locks the steps you choose, and the statutory waiting period that follows the certificate of commitment is shown on the file.

  • Configurable process: steps added, renamed or reordered without touching files in progress.
  • Certificate of commitment and contract signed online, through a personal link sent to the adopter.
  • 7-day statutory waiting period (French law) flagged on a dog’s or cat’s file.
  • Post-adoption follow-up opened automatically: a call after 7 days, a visit at one month, news at one year.

Entry and exit register

The register keeps itself.

Creating a record enters the arrival. Completing an adoption, placing an animal in a foster home or transferring it to another rescue enters the exit. You retype nothing.

  • One tab per type of movement, on screen and in print.
  • “Complete the register” finds the missing lines and shows them to you before writing them.
  • An animal that has left without an exit line is flagged, never made up.

Donations and tax receipts

From donation to tax receipt, with no retyping.

Each donation has its own page, linked to the donor’s record. The receipt carries the wording of the French Cerfa no. 11580 form and goes out by email, as an attachment.

  • Continuous numbering per year: a cancelled receipt never frees up its number.
  • Amount in words, article 200 or 238 bis of the French tax code depending on the donor.
  • Advanced search and CSV export of the selection.
  • HelloAsso payments imported, Ohme contacts brought into the directory.

Who it’s for

One tool for every way of protecting animals

A shelter with its kennels, a rescue that works without premises, a team that coordinates foster homes: the day-to-day is not the same. Here is what Calidis changes in each case.

Shelters

Kennels, register, care, volunteer rota: everything that happens within your walls, tracked without a binder or a spreadsheet.

Foster home networks

Who can take an animal, who is fostering which one, and since when: foster homes coordinated without a spreadsheet to keep up by hand.

Security and confidentiality

Your shelter’s data stays yours.

Separated by shelter

Each site sees only its own animals, contacts and donations.

Precise permissions

A volunteer views and adds notes, a manager edits, the administrator handles accounts. Adjust as you see fit.

Everything is logged

The activity log keeps the author and date of every sensitive action, from a vote to a change to an account.

Protected login

Passwords never stored in plain text, lockout after several failed attempts, traffic over HTTPS.

Try Calidis with your own shelter.

30 days to enter your animals, invite your team and see whether the tool suits you. No card details needed.
